BMSC Annual General Meeting - Tomorrow Night
As noted in the latest edition of of the club's fantastic magazine Spokes, tomorrow night (6 December) is the BMSC's Annual General Meeting.
During the Annual General Meeting, elections will be held for the positions on the Club's Committee. Please read through this list and put your hand up for one (or more) of the positions on offer.
Remember, the Brindabella Motor Sports Club is run by you, the members. Please play an active role in the future of the club.
Positions include:
The President
The President plays a crucial role and this function can be the most entertaining and satisfying of all roles. The President must see that the meeting runs smoothly by leading discussion and ensuring that speakers are not repetitious or stray from the topic. It is the President’s role to offer a balanced discussion and summarize points of view before asking members to vote.
Duties:
Chair General and Committee Meetings.
Provide policy direction and advice.
Allocate resources to Club Projects
Co-Sign cheques as required.
Oversee the organisation of Club activities.
Key point contact for Club members, CAMS, Government Agencies and the General public.
The President must be reasonably easy to contact at home and at work, be able to get along with people and have a genuine commitment to the long term interests of the Club.
The Vice-President
The Vice President’s role is to:-
Chair meeting in the absence of the President.
Assist the President in the President’s other duties.
The Secretary
The successful Club depends on the Secretary who is the linchpin in the organisation. The Secretary’s basic roles are to keep records of the organisation and to deal with the correspondence. The Secretary, in association with the President calls meetings and distributes the agenda.
Keeping a record of meetings by taking minutes is an essential responsibility and should be completed soon after and item is raised. The minutes should be available to all members as soon as possible, therefore a hard and disk copy should be forwarded to the editor for inclusion in the monthly magazine.
Duties:
Organise and keep up to date the Club’s records and files.
Record minutes of General and Committee meetings.
Clear the Club’s Mailbox (Civic Square) regularly.
In consultation with the President, deal with Club correspondence.
Qualifications:
Good organisational skills.
Be able to deal with correspondence quickly & write letters clearly and concisely.
The Treasurer
The successful Club relies on the Treasurer to ensure that the financial position of the Club is looked after. Needless to say, this is one of the most important positions in the Club's structure.
Duties:
Collect and report on financial information effecting the Club.
Make financial recommendations to the Committee.
Prepare the Annual Accounts and submit them to the Club’s auditor.
Prepare and lodge the Annual Report to the Registrar General’s Office and the Australian Tax Office.
Qualifications:
Basic bookkeeping experience.
Preferably familiar with Tax Office GST requirement.
Preferably familiar with MYOB or similar accounting package.
Club Captain
The Club Captain is responsible for keeping track of the events that members compete in and to advise the membership of competitive events and activities.
Duties:
Liaise with Club competitors and prepare reports on competitor’s activities and events
Report on developments in the Motorsport arena
Qualifications:
Be easy to contact.
Have a knowledge of Motorsport, the Club, it’s members and their activities.
Membership Secretary
The Membership Secretary is responsible for the maintenance of Club Membershiprecords and the promotion of the Club Membership
Duties:
Collect membership fees and issue membership cards.
Maintain membership records and prepare returns for CAMS.
Issue Cams Basic Licences.
Provide mailing labels for the club Magazine based on the membership list for each month.
Qualifications:
Good organisational skills.
Be able to deal with correspondence quickly & write letters clearly and concisely.
Property Officer
The Property Officer is responsible for the safe storage and maintenance of the Club’s assets.
Duties:
Custodian of Club property.
Arrange the hiring and loan of the Club’s equipment.
Qualifications:
A Phone
Publicity Officer
The Public Relations officer is responsible for presenting the Club to the Media and other organisations as required.
Duties:
Promote awareness of the Club is event’s and activities.
Qualifications:
Good oral communication skills.
Contacts in the Media could be considered and advantage
Social and Assistant Social Secretary
The Social and Assistant Social Secretary are responsible for organising and initiating events in which the club can partake at a social level.
Duties:
Arrange monthly raffles at club meetings.
Co-ordinate fundraising.
Arrange social events such as the Christmas party and Presentation night.
Qualifications:
Organisational as well as good social skills
Editor
The editor is responsible for the production and mailing of the Club’s monthly magazine “SPOKES”.
Duties:
Produce a high quality publication that the club can be proud of.
Deliver the photo-ready copy of “SPOKES” to the printers for printing.
Co-ordinate advertisements to be placed in “SPOKES”.
Envelope, Label, Sort and deliver the magazine to the Post Office.
Qualifications:
Familiarity with and access to word processing / desk top publishing and computer packages.
Some writing / typing and artistic ability.
Familiarity with the printing industry would be and advantage.
Familiarity with Australia Post’s Print Post procedures.
Delegates
Represent the Club’s position at meetings of the various bodies on which the Club is represented.
Qualifications:
Ability to communicate tactfully with others.
General Committee
Assist in the organisation of Club projects when and where required.
Qualifications:
A keen interest in participating in the organisation of the Club.
The usual club meeting will be held immediately following the conclusion of the AGM.
